("Wrodium," "we," "us," or "our") collects, uses, and discloses information when you access or use the Wrodium platform, including our Generative Engine Optimization (GEO) tools, content optimization dashboard, CMS integrations, AI citation analytics, and related services (collectively, the "Service").

Wrodium helps businesses optimize their digital content for AI-powered search engines and large language models (LLMs) such as ChatGPT, Perplexity, Google AI Overviews, and Claude. This Privacy Policy explains how we handle the data involved in delivering that service.

1. Information We Collect

1.1 Information You Provide

When you create an account, subscribe, or interact with Wrodium, you may provide:

  • Name, email address, job title, and company affiliation
  • Login credentials and authentication tokens for connected platforms
  • Billing and payment information (processed by our third-party payment provider; Wrodium does not store full credit card numbers)
  • Content you submit for optimization, including website URLs, text, metadata, and publishing configurations
  • Communication preferences, survey responses, and support inquiries
  • CMS or publishing platform credentials when you enable integrations (e.g., WordPress, Webflow, HubSpot)

1.2 Information We Collect Automatically

When you use the Service, we automatically collect:

  • IP address, device identifiers, browser type, operating system, and language settings
  • Pages viewed within the Wrodium dashboard, session duration, and referring URLs
  • Feature usage data, including which optimization tools and reports you access
  • Performance and diagnostic logs to maintain reliability and troubleshoot issues
  • AI citation and ranking data associated with your monitored content across supported AI platforms

1.3 Information from Integrations and Third Parties

If you connect Wrodium to external platforms, we may receive information from those services based on the permissions you grant:

  • CMS Integrations: Content metadata, page structures, and publishing status from platforms like WordPress, Webflow, Shopify, or HubSpot.
  • Analytics Platforms: Traffic and engagement data from tools such as Google Analytics or Search Console to correlate GEO performance with traditional metrics.
  • Authentication Providers: Basic profile information if you sign in via Google, Microsoft, or another SSO provider.

2. How We Use Information

We use the information we collect to:

  • Operate, maintain, and improve the Wrodium platform and its GEO optimization features
  • Analyze how AI search engines cite and reference your content, and generate actionable optimization recommendations
  • Process content through our proprietary optimization pipeline, including AI-driven content analysis and enhancement suggestions
  • Monitor your content's visibility and citation frequency across supported AI platforms (e.g., ChatGPT, Perplexity, Claude, Google AI Overviews)
  • Communicate with you regarding account updates, feature releases, optimization alerts, and support
  • Process payments, manage subscriptions, and administer your account
  • Conduct research and develop improvements to our GEO algorithms and citation prediction models
  • Detect fraud, enforce our terms, and comply with legal obligations

We may also use aggregated, de-identified data for industry benchmarking, research publications, and product development. Aggregated data cannot be used to identify you.

3. How We Share Information

We do not sell your personal data. We may share limited information in the following circumstances:

  • Service Providers: We work with trusted vendors for cloud hosting (e.g., AWS, GCP), payment processing (e.g., Stripe), analytics, email delivery, and customer support tools. These providers access only the data necessary to perform their functions and are bound by contractual data-protection obligations.
  • AI Platform Interactions: To monitor your content's AI citation performance, Wrodium may query AI search engines and LLM platforms on your behalf. These queries involve your content URLs or topics but do not include your personal data.
  • Business Transfers: In connection with a merger, acquisition, financing, or sale of assets, your information may be transferred to the successor entity, provided they agree to honor this Privacy Policy.
  • Legal Requirements: We may disclose information to comply with applicable law, regulation, legal process, or enforceable governmental request.
  • With Your Consent: When you explicitly authorize sharing, such as participating in a case study or co-marketing initiative.

4. Content Data and AI Processing

Wrodium's core service involves analyzing and optimizing your digital content for AI search engines. This section clarifies how we handle content data:

  • Your Content Remains Yours: You retain all ownership rights to the content you submit to Wrodium for optimization. We do not claim ownership of your content.
  • Processing for Optimization: We analyze your content using our proprietary algorithms and, where applicable, third-party AI models to generate optimization recommendations. Content submitted for analysis may be processed by AI services subject to their respective privacy policies.
  • No Training on Your Content: We do not use your individual content to train general-purpose machine learning models. Aggregated, anonymized insights may be used to improve our optimization algorithms.
  • Citation Monitoring: Wrodium monitors publicly available AI search results to track how and when AI platforms cite your content. This monitoring involves querying public-facing AI interfaces and does not require access to proprietary AI platform data.

5. Cookies and Tracking Technologies

Wrodium uses cookies and similar technologies to:

  • Authenticate your session and keep you signed in
  • Remember your dashboard preferences and display settings
  • Understand usage patterns and feature adoption to guide product improvements
  • Measure website and application performance

We use the following categories of cookies:

  • Essential Cookies: Required for the Service to function (authentication, security). Cannot be disabled.
  • Analytics Cookies: Help us understand how users interact with the platform (e.g., Google Analytics, Mixpanel).
  • Preference Cookies: Store your settings such as dashboard layout and notification preferences.

You can manage cookies through your browser settings. Disabling certain cookies may limit functionality of the Service.

6. Data Retention

We retain your personal data and content data for as long as your account is active or as needed to provide the Service. Specifically:

  • Account Data: Retained for the duration of your subscription and up to 30 days after account deletion to allow for reactivation.
  • Content and Optimization Data: Retained while your account is active. Upon account termination, content data is deleted within 90 days unless you request earlier deletion.
  • AI Citation History: Historical citation and performance data is retained for reporting purposes during your subscription and deleted within 90 days of account closure.
  • Billing Records: Retained as required by applicable tax and financial regulations.

When data is no longer needed, we securely delete or anonymize it in accordance with industry best practices.

7. Data Security

We implement technical and organizational measures to protect information, including:

  • Encryption of data in transit (TLS 1.2+) and at rest (AES-256)
  • Role-based access controls and the principle of least privilege for internal systems
  • Regular security assessments and vulnerability testing
  • Monitoring and logging of access to production systems
  • Secure software development practices, including code review and dependency management

No system is completely secure, and we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials and for any activity under your account.

8. Your Rights and Choices

Depending on your jurisdiction, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you.
  • Correction: Request correction of inaccurate or incomplete data.
  • Deletion: Request deletion of your personal data ("right to be forgotten"), subject to legal retention requirements.
  • Portability: Request your data in a structured, machine-readable format.
  • Restriction/Objection: Restrict or object to certain processing activities.
  • Withdraw Consent: Withdraw consent for marketing communications at any time.

9. California Privacy Rights

If you are a California resident, the California Consumer Privacy Act (CCPA) provides you with additional rights, including the right to know what personal information we collect, request deletion, and opt out of the sale of personal information. 10. International Data Transfers

Wrodium is based in the United States. If you access the Service from outside the United States, your data may be transferred to and processed in the United States or other countries where our service providers operate. We apply appropriate safeguards for international transfers, including Standard Contractual Clauses (SCCs) where required by applicable law.

11. Children's Privacy

The Service is designed for business professionals and is not directed at individuals under 16 years of age. We do not knowingly collect personal information from children under 16. If you believe a minor has provided us with personal data, please contact us at privacy@wrodium.com and we will promptly delete it.

12. Third-Party Links and Services

The Service may contain links to third-party websites, AI platforms, or tools. We are not responsible for the privacy practices of these third parties. We encourage you to review the privacy policies of any third-party service you interact with through Wrodium.

13. Changes to This Policy

We may update this Privacy Policy periodically to reflect changes in our practices, technology, or legal requirements. If we make material changes, we will notify you by email or through an in-app notification at least 15 days before the changes take effect. The "Effective Date" at the top of this page indicates the latest revision.

Your continued use of the Service after any update constitutes acceptance of the revised Privacy Policy.
